Data Entry Coordinator

Farm Sanctuary’s Development Services Team is looking for an experienced coordinator to be responsible for managing our constituent database, processing donations, and providing support for events and donor-related issues and needs. This department also provides customer service for general phone, mail, and email inquiries received at our Watkins Glen office. The current opening offers a great opportunity for an individual to contribute their administrative skills and experience to support Farm Sanctuary’s critical work to protect farm animals from cruelty, inspire change in the way society views and treats farm animals, and promote compassionate vegan living.

Responsibilities:

  • Primary Constituent Database
    • Performing data entry, including recording additions, corrections, merges, and address changes
    • Making gift refund adjustments
    • Performing gift batch keying
    • Assisting with data imports and exports
  • In-Kind Donations
    • Processing incoming packages and In-Kind form information
    • Ensuring accurate data tracking in constituent database
  • Donation Processing
    • Preparing weekly donation batches for data entry
    • Preparing and reconciling cash receipts and bank deposits
    • After batch process is complete, reviewing and distributing donation records as needed
    • Processing Matching Gift donations
  • Online Constituent Database
    • Coordinating daily and weekly data transfers for all forms and surveys within Convio Luminate online database
    • Processing online application responses, including managing spreadsheets and handling mail merges to create final application file
  • Event Support
    • Handling event registration tracking
    • Handling incoming calls and emails from registrants and those interested in attending a future event
    • Maintaining event waiting lists
    • Providing regular registration reports to colleagues as scheduled
  • Donor Service
    • Acting as primary phone operator for the Watkins Glen office
    • Handling inquiries on donations and donor record updates
    • Providing basic information regarding Farm Sanctuary’s programs
    • Routing calls to colleagues as needed and appropriate
    • Assisting with office reception duties (deliveries, guest services, etc.)
    • Sending all honor and memorial donation acknowledgements
  • Volunteer Supervision
    • Screening applications and performing interviews with prospective volunteers
    • Acting as primary supervisor to Development Services volunteers and interns
    • Ensuring volunteers have a positive experience
  • Additional Development Services projects as assigned

Qualifications

  • Excellent database skills; experience with fundraising databases preferred (e.g. Revolution Online, Raiser’s Edge, Convio Luminate Online)
  • Knowledge of and proficiency with Excel; advanced skills preferred
  • Good accounting and finance skills, including familiarity with basic accounting principles
  • Strong data entry skills, providing both accuracy and speed
  • Ability to handle confidential information and ensure compliance with all security requirements
  • Good organizational skills and ability to multi-task in a fast-paced environment
  • Ability to prioritize, maintain schedules, and meet deadlines
  • Ability to work independently while supporting a larger team effort
  • Friendly and outgoing manner, with excellent interpersonal skills and ease in handling a variety of donor service situations
  • Flexibility and willingness to pitch in where needed
  • Previous clerical and data entry experience required
  • Nonprofit and/or fundraising database experience preferred
  • Previous customer service experience preferred

Job Specifications

  • Full-time, non-exempt position
  • Starting salary $12.00 to $14.00 per hour, commensurate with experience
  • Position is located at our national office in Watkins Glen; due to the nature of this position, telecommuting is not an option.
