Job Summary:

Under the direction of the Development Director, the Database & Development Coordinator is responsible for supporting the Development Department and its efforts to raise funds. The Database & Development Coordinator is responsible for the overall coordination and production of information on the prospects and donors for tracking cultivation and solicitation progress, and for prospect identification. Responsibilities include overall management of the Raiser’s Edge donor database, daily recording of donations, and overall administrative needs of the Development Department. This position requires direct interaction with donors and supports the efforts of the Board of Directors, Executive Director, Development Director, finance volunteers and key stakeholders throughout the organization. Duties & Responsibilities:

·        Responsible for all gift processing.

·        Support Development Department with management of the donor database; manages and train volunteers in gift processing and other duties as appropriate.

·        Coordinates data importation from the volunteer, adopter, and training databases.

·        Create a database procedures handbook that contains industry best practices.

·        Accuracy in all gift entry, acknowledgment, and donor correspondence.

·        Technical support and training on database for the department staff, when requested.

·        Assists with grant procurement and reporting.

·        Works with Finance to reconcile monthly donations.

·        Produces monthly reports of income for development committee and Board meetings.

·        Prepares custom reports.

·        Field calls/email inquiries from donors, businesses and supporters as appropriate.

·        Works well with volunteers on administrative and events activities and projects.

·        Support the Development Department with planning and preparing for all events.

·        Other duties as assigned by the APS Development Director.

Qualifications & Skills:

·        Bachelor’s degree with 2+ years of experience in the development or research fields

·        Ability to work Monday through Friday in the office, during business hours, plus occasional evenings and weekends as needed for meetings and events.

·        Experience with database administration and maintenance required; Raiser’s Edge or similar experience a plus; proficient in Microsoft Office.

·        Demonstrated ability to build, sustain, and manage relationships with donors, volunteers, staff and the public.

·        Excellent organizational, time, and project management skills; demonstrated initiative in setting up efficient office policies, practices, and procedures; detail‐oriented and high level of accuracy; reliable and conscientious.

·        Strong work ethic, ability to work independently and as part of a team.

·        Excellent interpersonal and problem solving skills, with the ability to manage multiple and shifting priorities and projects.

·        Ability to exercise good judgment, maturity, professionalism, initiative and confidentiality.

·        Proven ability to work in a small and friendly office environment, where each staff person assumes multiple responsibilities while striving to achieve shared goals.

·        Must be comfortable working around animals.

·        Positive approach, can-do attitude, and sense of humor.
