Placement & Volunteer Program Assistant

The Placement & Volunteer Program Assistant provides critical support services for our placement and volunteer programs.  The position reports to the National Placement Manager and the Director of Human Resources & Volunteer Programs.

Responsibilities:
Placement Program (50%) – Provide support to the National Placement Manager including:

  • Monitor and process shelter@farmsanctuary.org emails related to placement, care, cruelty cases, and adoption daily. This may include standard template responses, forwarding inquiries on to appropriate staff, or drafting responses based on staff feedback
  • Monitor and process incoming phone calls two days per week (as backup support to National Placement Manager)
  • Assess incoming correspondence for emergency situations that need immediate responses
  • Data entry of all placement requests handled into program database
  • Maintain database of adopters, including data entry and outreach to program participants to ensure all contact information and adoption interest data is current
  • Assist with adoption application responses and verifications as assigned (time permitting)
  • Support the coordination of state veterinarian visits for interstate transport of animals from Watkins Glen or other east coast rescue locations
  • Provide support on rescues or cruelty cases when assigned

Volunteer Program (45%) – Provide support for Watkins Glen volunteer and internship program including:

  • Assist with initial volunteer and internship application screening
  • Support one time/recurring volunteer activities including orientation and time tracking
  • Support monthly volunteer work parties including
    • Correspondence with participants
    • Volunteer orientation
    • Facilitating lunch potluck
    • Farm tour
  • Handle routine intern program activities including
    • Weekly lunch preparation, setup, and cleanup
    • Weekly grocery shopping trips
    • Travel to/from Ithaca for departing/arriving interns
    • Monthly housecleaning (with interns)
    • Education presentations as assigned
  • Other volunteer program projects as assigned

 Other (5%)

  • Provide administrative project support for Director of Human Resources as assigned
  • Assist in coordination of HR activities such as staff lunches, meetings, training sessions, etc.
  • Provide backup support to visitor experience work including farm tours, staffing gift store or event support

Qualifications:

  • Strong verbal and written communications skills
  • Excellent interpersonal skills, including ability to listen and interact constructively and professionally with those seeking Farm Sanctuary’s assistance
  • Ability to display sensitivity, tact and responsiveness with constituents, staff, management, etc.
  • Ability to handle confidential and sensitive information
  • Excellent organizational skills and attention to detail
  • Ability to work in a fast paced environment, handling varied tasks simultaneously while meeting multiple (and sometimes competing) deadlines
  • Intermediate proficiency with Microsoft Excel and Word required
  • Resourcefulness and ability to work independently
  • Poise and fluent adaptability to unexpected situations and developments
  • Working knowledge of basic farm animal care preferred
  • Commitment to Farm Sanctuary’s animal care policies
  • Commitment to Farm Sanctuary’s organizational programs and goals
  • Knowledgeable on farm animal and vegan issues
  • In order to effectively educate others and represent Farm Sanctuary’s mission to the public, candidate must be pursuing a vegan lifestyle or a vegetarian lifestyle while aspiring to be vegan by the time of accepting this position.
  • Valid driver’s license with clean driving record required
  • Previous administrative experience required
  • Previous customer service experience required; placement experience at animal care facility very helpful

 Job Specifications:

  • Full Time, non-exempt position
  • Regular weekend, evening, and holiday hours required
  • Occasional travel required to assist with transport for animal adoptions or rescues
  • Starting salary $12 to $14 per hour, commensurate with experience
